Are there any facilities that are scanning incoming mail? If so, is this done in house or through an outside company, if so, what company? Do the inmates receive their mail electronically or copies? If the mail is done in house, what happens to the mail after it is scanned?
Thanks in advance,
Melanie (Mel) Hehr Inmate Programs Coordinator Anoka County Jail 763.324.5112 763.324.5141

Chisago County Jails Admin goes through all of the mail and makes copies of it for the inmate. They then place all the originals into their property. The inmates then get the copies.

Tri-County Community Corrections (Polk/Norman/Red Lake) scans mail to the inmates. The administrative assistant/clerk scans the mails on week days, and the inmates receive their mail on their tablets. The actual letter or mail is placed in that person's property bag and it is sent with them when they get released.

We’ve been scanning for a year or two now. We don’t make copies and they receive the mail on their iPod or on a Turnkey kiosk. Mail is then placed in their property.

Stearns. This is a brand new process for us. It officially begins 10/24. Company we are using is an outside company called “Pigeonly”. Mail is sent to them then they keep the originals and mail us copies. I believe they hang on to the original for 45 days then destroy. Renville County is all scanned/copied in house. Legal mail is opened in front of them then copied and original is put in their property. Mower County have been photocopying incoming mail with the exception of legal mail for 2+ years. with the texters, we could scan it and upload it to there texters but we haven't gone that far yet. We do all of this in intake and place the originals in their property after being logged in our management system. We do still give photos as long as they are on photo paper.
Koochiching County photocopies all incoming mail and the original is placed in the inmates property. We do not receive a lot of incoming mail so it is just done by the staff on duty.
Sherburne County scans all mail, scanned mail then is viewed by inmates on NCIC tablets. Once legal mail arrives, it is verified by attorney that attorney sent it, opened in the presence of an inmate then given to inmate once verified legal mail. Originals are held for 30 days then destroyed.
Le Sueur County copies all incoming mail and gives copies to the inmate, original goes in their property. It is done in house by staff. Legal mail gets opened in front of inmate, visually scanned for contraband and then given to the inmate. I have pushed to scan mail and upload to the TurnKey kiosks for inmates to cut down on excess mail kept by the inmates and "fire hazards" but it hasn't gone over well with admin. I'm hoping eventually they will at least give it a try. I've even offered to do all the scanning myself with no luck. We are also a small county, so 8-10 pieces of mail in one day is a big day for us!
